A customer portal that takes work off your hands.

A customer portal is a private online environment where customers find information and take action themselves. They can submit requests, share documents or follow an order’s progress. Your staff work from the same information, with access appropriate to their role.

Requests without retyping

Let customers provide their information once. Decide which details need to reach your CRM, ERP or administration.

Documents with the right order

Keep agreements, attachments and versions in a clear location. Define who can view, change or approve each item.

A clear next step

Show the current status and what is still needed. Customers can move forward and your team spends less time gathering information.

Different businesses. Familiar processes.

Your existing systems are the starting point.

A new portal should not become another isolated system. We assess which information is already in your ERP, CRM or accounting software and how to exchange it responsibly.

Integrations depend on available APIs, licences and access rights. We check these before agreeing on scope and price.

From one workflow to a working portal.

  1. We map the process

Who will use the portal, where is the manual work and which systems are involved? Together we choose a clearly defined first use case.

  2. You see how it will work

We make the screens and steps concrete. You review the proposal before we build the complete solution.

  3. We build, connect and test

We test access by role, data exchange and the complete workflow with your team, including errors and exceptions.

  4. We maintain and improve

We agree on hosting, updates, backups and support. New features follow actual usage and your priorities.

Our own portal

The TovoT portal connects customer contact with business operations.

A customer request rarely stands alone. It relates to a product, schedule, service or invoice. The TovoT portal brings that context together, with a customer environment and a separate management environment for our team.

What customers can see

  • Products, requests and progress

Add requests to a product, indicate priorities and follow available sprint information.

  • Hosting and domains

An overview of their own websites, domains, renewal dates and related services.

  • Invoices and subscriptions

View their own invoices, outstanding balances and active subscriptions once the administration is connected.

What the TovoT team manages

  • Customers, services and finances

Connect customer records and subscriptions to products and administration. Authorised staff can review financial overviews and discrepancies with invoicing.

  • Demos and SEO opportunities

Organise customer demos, manage presentation links and keep SEO analyses with sources and next steps alongside a proposal.

  • Support and connections

View open HubSpot support tickets by customer. Manage connections for ClickUp, Moneybird, Toggl, hosting and website management, among others.

Visible information depends on the user’s role, configuration and available connections. The examples on this page use fictional data; no customer administration is shown.

When does custom development make sense?

A custom solution fits when…

  • your workflow spans several systems or teams;
  • customers and employees need different access rights;
  • your existing software does not support the way you need to work.

An existing product may be enough

If you only need to share files or add a simple form, an existing solution may do the job. We explore that in our first conversation.

How much does a custom customer portal cost?

The investment depends on features, integrations and any data that needs to be migrated. You receive a proposal based on your workflow with a clearly defined scope.

Development and setup

Screens, workflows, roles and permissions, data migration and testing.

Integrations

API availability, one-way or two-way exchange, error handling and licence costs.

Ongoing maintenance

Hosting, backups, updates, support and agreements for future development.

Start with the smallest version that supports a complete workflow. Then assess what the portal delivers in practice.

Discuss your portal with a demo request

Questions to answer before you start.

How does a customer portal differ from a business portal?

A customer portal is a private online environment for customers. A business portal may also serve employees or partners. We start by identifying who will use it and what they need to do.

Can you connect the portal to my ERP or CRM?

We investigate your existing software’s capabilities, such as an API or a supported export. We assess licences, access, which system owns each record and how errors are handled before agreeing on the integration.

How long does customer portal development take?

The timeline depends on the initial scope, integrations and the availability of data and feedback. After discussing the workflow, we create a plan with concrete milestones. We do not promise a fixed timeline before understanding these dependencies.

How do you handle security and access?

We define access rights for each role and test that customers can only see their own information. Data storage, backups, logging and updates form part of the design and maintenance arrangements. We discuss specific requirements before development.

Will the portal work on a phone?

We design for desktop, tablet and mobile. If you need offline functionality or access to device features, we discuss whether a web app is enough or a different approach is required.

What happens after launch?

We agree on responsibility for hosting, technical maintenance, support and further development. Access, documentation, source code and handover arrangements are included in the proposal so you know what to expect.

Request a demo for your workflow.

Which task would you like to make easier for customers or colleagues? Tell us briefly so we can agree which demo will best illustrate your needs.

What happens next

  • We discuss your request and agree the scope together.
  • We agree what the demo will show and what is needed to create it.
  • You receive a personal link when your demo is ready.
